The objective of the logistics director is to prepare the physical surrounding at camp. During move-in, the camp needs to be prepared for the first program. At move-out, the camp is prepared for the ranger walk-through and next group after us.

Note that the Logistics Director cannot go to church if the final ranger walkthrough is on a Sunday!!! The Logistics director must be there with a car until the ranger is finished with the walkthrough.

When camp is rented, we have the use of the buildings and the camp area. All equipment, except for mattresses, need to be brought to camp before the first program and removed after the last program. We rent a storage space near the highway to keep the equipment in. Before camp starts, the logistics director and the move-in team moves all the equipment into camp and moves it back after camp.

Since the regular camp cleaning and kitchen crew usually does not come until the regular start of camp, the setting-up includes supplying the bathrooms. The cook will also need help washing all of the kitchenware coming from the storage.

Note that if the general affairs director comes early, he/she may be able to assist with set up, especially with going to the store and buying supplies. Also, if some units are closed during the last week and there are no other service projects, the service teams could close down those units.

During the camp program the logistics director gets an assignment like everybody else.

Below is a rough to-do list. It certainly doesn't include all the responsibilities the logistics director has; it is meant as a helpful tool.

Before the First Session of Camp
Before Move-In
*Make arrangements to rent a truck for 1 day for the move-in day.
**Spring Gathering and Harvest Festival need at most a 16 foot truck.
**Summer Family Camp could use a 22 foot truck.
**Effort Mini Storage rents Penske trucks and is close by in Effort, PA. Rent at least 2 weeks in advance. The street number may be off, so use 40.978N, 75.446W as the GPS coordinates. Rent on the Penske website.
*Make arrangements to rent a truck for 1 day for the move-out day.
*Communicate with camp director about how many people will come to help move in and what time they are arriving at Shehaqua.
*Make plans where to buy food for the move-in team to bring to Shehaqua.
*Get key to storage.
*Ask the registrar for the mattress shed key or ask for the mattress shed to be unlocked.

Move-In
*Bring along an electric screwdriver for using at camp.
*Pick up the rental truck.
*Load everything from the storage into the truck and drop the things off at camp. Most likely more than one trip is needed.
*First priority is to move all things from the storage shed to camp. The rec hall is a good drop point if more then one transit trip is required to and from to the shed.
*Final destinations for dropping of equipment:
**At the rec hall: the sound system, things that are going to be used at the rec hall
**At the office: things for the office, things for the lecture rooms, the sports
**equipment, the cleaning supply room at the office building, the main bathroom, and the meadow
**At the kitchen: things for the kitchen and the infirmary
**At the crafts cabin: the crafts boxes
*Return the rental truck.

Set-Up
*Shop for bulk items for the sessions of camp – paper towels, toilet paper, shampoo, and hand soap in large refill bottles (we already have the pump bottles for refilling).
*Organize paper towels, bathroom supplies in camp office in the supply room on the left.
*Bring paper towels, toilet paper, soap, and plungers to all the bathrooms at camp.
*Hang up shower curtains in the main bathroom.
*Set up whiteboards and lighting.
*Bring whiteboard supplies (markers, eraser, and paper towels) to all lecture halls, and leave the remainder in the camp office.
*Set up the Sound Equipment in the Rec Hall.
*Run an electric cord to the meadow.
*Set up clocks in lecture rooms.
*Bring lifeguard rescue tubes to pool.
*Distribute fans.
*Sweep all buildings – main buildings and cabins – if necessary. (we would Holy Salt as well)
*Move mattresses from mattress shed to the unit lodges. Sometimes the mattresses will be left in the units by the previous users of Shehaqua, but you need to check that enough mattresses are in each unit.
*Put up the crates in the dining hall and secure them with tape and string.
*Help the cook to wash the drink coolers, pitchers, pots and pans, kitchen utensils, and any other kitchen items used for food.

After the Last Session of Camp
Directing the General Camp Cleanup
*Pick up the rental truck.
*Bring along an electric screwdriver for using at camp.
*Take down the whiteboards from lecture rooms and dining hall and bring to the office. Electric screwdriver or drill very useful.
*Collect all whiteboard supplies and bring to camp office.
*Collect the electric cords from the meadow.
*Collect the lights and electric cords from the unit 1 lodge.
*Collect the sound system, lights and electric cords from the rec hall.
*Put the benches in the rec hall into the same position as when we arrived - along the long wall with one bench upside down on top of each standing bench. The number of benches we leave in the rec hall should be the same number of benches as when we arrived.
*Collect the fans.
*Bring the PFM lifeguard rescue tubes from the pool to the truck or dining hall.
*Clean the bathroom by the pool.
*Take down the crates in the dining hall.
*Put the benches in the dining hall upside-down on top of the tables.
*Bring the mattresses from the units, the staff buildings, and the infirmary to the mattress shed.
*Bring the freezer from the hall behind the kitchen and the small fridges from the camp store to the mattress shed.
*Collect the soaps, shampoos, plungers, toilet paper, and paper towels from the bathrooms. Leave the shower curtains.
*If necessary sweep out any cabins and close all the windows and doors.
*Close all windows in all the public buildings and sweep the floors.
*Clean and mop the main bathroom.
*Mop the kitchen floor and clean the kitchen counters.
*Pick up any garbage anywhere on the ground outside.
*Collect all garbage from the public buildings and the units and drop in dumpster. Put new garbage bags in each garbage can.
*Bring everything to the storage arranging things in roughly the same order they were before camp started. Put similar things together. It is very important to put things in order for the next camp session at a later date when possibly not all things are needed and the necessary items need to be found quickly.
*Return the rental truck.

Ranger Walkthrough
The ranger will walk through camp and check each building, noting damage and left behind items. This process takes 1.5-3 hours and is scheduled the day before. The ranger walkthrough must start no later than 2 hours prior to the checkout time on our lease (e.g. lease to 5pm means that everything except the dining hall must be clean and walkthrough starts at 3pm).

You must be available to accompany the ranger. Some rangers we know well may not require us to walk with them, but someone physically able to move a bench must be in camp if there is a problem. There is no exception to this rule, which is required in the lease.

Before Move-In
*Make arrangements to rent a truck for the move-in day.
*Make arrangements to rent a truck for the move-out day.

*Take down the whiteboards from lecture rooms and bring to the office.

Your Walkthrough
In all buildings, check that the floors are reasonably clean (no man-made trash), trash bags are almost empty (no food), mattresses are gone, lights are off, and windows and doors are closed.

Ranger Walkthrough
The ranger will walk through camp and check each building, noting damage and left behind items. This process takes 2-3 hours. You must be available to accompany the ranger. Some rangers we know well may not require us to walk with them, but someone physically able to move a bench must be in camp if there is a problem. There is no exception to this rule.

*Take down the whiteboards from lecture rooms and bring to the office.

Walkthrough
* The hikes start at 1:30 pm at the flag pole near the rec hall and last until 3:45 pm.
* Plan hikes beforehand. They cannot be longer than 2 hours. Please be sure to be back at the beginning of the free time as some parents of younger kids are waiting for them to go to the pool or other places together.
* The group leaders are supposed to go with their group to the hike. In case the group leaders are not there, ask the camp or education director to get them.
* Hike with the groups. It's best to have a designated "last person" to keep the group together. Make sure there is also a responsible person in front, because those who go ahead can get separated from the group.
* Take a head count before beginning the hike and after the end. This can be done by asking the group leaders to count their group members, including themselves, and reporting to the hike leader.
* If the hike goes to a place where kids can play in the water (stream or waterfall), ask the camp director to make an announcement before lunch so the kids can wear their swim suits and bring a towel, if they like.
* If cars are needed to transport kids for the hike, ask the camp director to make an announcement before lunch on the day on the hike. Be there during the announcement, so volunteers can talk to you right away.
* If cars are used to transport people to the beginning of the hike, ask everyone to come back in the same car as they left. Have a head count in case you need it in the middle of the hike. Also, make sure all of the drivers know where to go, or that the lead driver drives slow enough.
* Take a simple medical kit along, even if it is just some gauze pads and bandages. Also, bring a well charged cell phone or make sure another person has one. Have the cell phone number of the camp director.
#Take the Hawk Falls Trail past Hawk Falls itself.
#Around the bend by the “Mud Run” sign on the left, you will see a sign for “Orchard Trail” also to the left. It is slightly hidden so keep an eye out for it. There, take a sharp left off a steep hill when just within sight of river.
#Follow the trail over the top of the ridge for about ½ to ¾ miles until you see a large fallen tree blocking path.
#Continue past the fallen dead tree for a few hundred yards. You will see two signs saying “Hawk Falls Trail” and “Orchard Trail.”
#Here, turn right down into a steep trail with switchbacks (meaning it zigzags down a slope). Follow this trail to bottom of the slope.
#At the bottom, go left towards the sound of a waterfall until you reach a big flat rock looking over the Black Pool.

Shehaqua volunteer spirit: The Shehaqua programs were built based on many people volunteering their time and energy. Everyone who attends camp is expected to contribute, which helps everyone have a sense of ownership as well as help keep participant fees low.

However, there are a few positions which require an extraordinary amount of time and effort, without which our programs would not be able to run. For these positions, we offer administrative discounts for the person and where appropriate, their family (to encourage families to attend together), and for our head cook we offer a small honorarium for the amount of work involved.

*Families are defined as parents with children 20 years and younger.
*Discounts are for the early-bird fees only. If the volunteer registers after the early-bird deadline, they must pay the difference between the early-bird fee and the fee in place at the time of payment.
*For positions of the head cook and assistant cook (8-10 hours/day), we provide more than a discount since people in these positions are not able to participate in a large portion of the program.
*Move-in and move-out helpers need to come before the program starts and/or stay after the program ends, and they will get a benefit after they have done their work.
|-
| Walking long distances || yes
|-
| Heavy lifting || yes
|}

The objective of the logistics director is to prepare the physical surrounding at camp. During move-in, the camp needs to be prepared for the first program. At move-out, the camp is prepared for the ranger walk-through and next group after us.

Before Move-In
*Make arrangements to rent a truck for the move-in day.
*Make arrangements to rent a truck for the move-out day.

*Take down the whiteboards from lecture rooms and bring to the office.

Walkthrough
In all buildings, check that the floors are reasonably clean (no man-made trash), trash bags are almost empty (no food), mattresses are gone, lights are off, and windows and doors are closed.

*Staff 1

However, there are a few positions which require an extraordinary amount of time and effort, without which our programs would not be able to run. For these positions, we offer administrative discounts for the person and where appropriate, their family (to encourage families to attend together), and for our head cook we offer a small honorarium for the amount of work involved.
The objective of the logistics director is to prepare the physical surrounding at camp. During move-in, the camp needs to be prepared for the first program. At move-out, the camp is prepared for the ranger walk-through and next group after us.

Before Move-In
*Make arrangements to rent a truck for the move-in day.
*Make arrangements to rent a truck for the move-out day.

There is a swimming pool at Camp Shehaqua which needs a Red Cross certified lifeguard to supervise.

The lifeguard's assignments include:

* Bring current Red Cross lifeguard, CPR certifications, and photo ID to camp. The rangers need to see it.
* The key to the pool needs to be returned to the agreed-upon location after the pool is closed for the session.
* Open the pool during free time at 3:45 pm.
* Close the pool by 5:45 pm, so campers have enough time to go to dinner.
* At least one lifeguard must be at the pool at opening time. Since hikes sometimes end late, one lifeguard needs to stay at camp during the hike.
* By law, only the gate at the shallow end is allowed to be opened.
* At least one life guard needs to have a cell phone at the pool for emergencies. Have the cell phone number of the camp director in the contacts list.
* Enforce the camp rule that children less than 10 years old need to be accompanied by an adult.
* If anyone misbehaves and doesn't listen to the lifeguard, report it to the camp director.
* Work out other pool rules with lifeguards before camp and enforce them at camp. Some pool rules are discretionary, but they need to be enforced in the same manner by all lifeguards for the duration of the program.
* The last lifeguards for the program should bring the rescue tubes to the dining hall.

The objective of the logistics director is to prepare the physical surrounding at camp. During move-in, the camp needs to be prepared for the first program. At move-out, the camp is prepared for the ranger walk-through and next group after us.

Before Move-In
*Make arrangements to rent a truck for the move-in day.
*Make arrangements to rent a truck for the move-out day.

*Take down the whiteboards from lecture rooms and bring to the office.
*Take down the crates in the dining hall.

Walkthrough
In all buildings, check that the floors are reasonably clean (no man-made trash), trash bags are almost empty (no food), mattresses are gone, lights are off, and windows and doors are closed.

This article describes the lighting and whiteboard setup for the various lecture halls at Camp Shehaqua.

Rec Hall
The Rec Hall is the largest hall with the most complex setup.

The whiteboard goes against the wall opposite the porch, covering the windows to the left of the back door. The whiteboard is centered between two rafters. This whiteboard is stage center.

On the two rafters to either side of the whiteboard, there is a halogen light. These halogen lights provide the main lighting for the stage. The lights are in the center of the rafter and are tied to the rafters with rope.

There are also two clamp lights to provide extra light. These can either be on the same rafters as the halogen lights or they can be one rafter further from the whiteboard. There are screws in the rafters for attaching the clamp lights.

Ensure that electrical cords go over the rafters to reduce the risk of a light falling down in the middle of a crowd.

Unit 1 Lodge
Unit 1 lodge takes time to set up because there is no electricity in the building.

The whiteboard goes in the middle of the long wall opposite the small porch.

One of the long gray extension cords is not quite enough to reach from the women's bathroom to the Unit 1 lodge, so an additional long extension cord is used. A power strip is put in to conveniently turn off the lights.

A string of lights with yellow cages is hung on the rafters to provide lighting to the participants. If available, a clamp light should be put on the rafter pointing at the whiteboard.

There are no benches in the lodge. Usually, 4 to 6 benches (depending on the group size) are brought from the Rec Hall at the beginning of the program and are returned at the end.

Staff 1
The whiteboard used in Staff 1 usually has some kind of reinforcement because there is not enough wall to hang a full size whiteboard. The whiteboard goes above the fireplace or, if it is a small whiteboard, propped on a table in front of the fireplace. A clamp light is placed on a rafter pointing at the whiteboard. Three benches come from the Rec hall at the beginning of the program and are returned at the end.

Nature Lodge
The whiteboard is placed on the table on the small wall opposite the small room. The whiteboard is screwed into the wall. One or two clamp lights are on the rafters pointing at the whiteboard. Three to 4 benches are brought from the Dining Hall at the beginning of the program and are returned at the end.

The objective of the logistics director is to prepare the physical surrounding at camp. During move-in, the camp needs to be prepared for the first program. At move-out, the camp is prepared for the ranger walk-through and next group after us.

Before Move-In
*Make arrangements to rent a truck for the move-in day.
*Make arrangements to rent a truck for the move-out day.

*Move white boards to lecture rooms and screw them in position.
*Bring whiteboard supplies (markers, eraser, and paper towels) to all lecture halls, and leave the remainder in the camp office.
*Bring freezer from mattress shed to hall way behind the kitchen and the small fridges to the camp store.
*Set up lights, benches, and sound system in rec hall for orientation.
*Set up lights in the unit 1 lodge with running an electric cord from the women’s bathroom.
*Run an electric cord to the meadow.
*Set up clocks in lecture rooms.

*Take down the whiteboards from lecture rooms and bring to the office.
*Take down the crates in the dining hall.

Walkthrough
| Heavy lifting || yes

The objective of the logistics director is to prepare the physical surrounding at camp. During move-in, the camp needs to be prepared for the first program. At move-out, the camp is prepared for the ranger walk-through and next group after us.

Before Move-In
*Make arrangements to rent a truck for the move-in day.
*Make arrangements to rent a truck for the move-out day.

*Direct the general camp clean-up
*Bring along an electric screwdriver for using at camp.
*Take down the whiteboards from lecture rooms and bring to the office.
Needed: 1 person to manage all of the kitchen staff.

Time Required (Approximate): 3 hours the 1st day, 2 hours the 2nd day, 1 hour each day thereafter.

Overview: The Kitchen Staff Manager's job is to make sure all the people working in the kitchen and dining area understand their role, and to make sure everyone does a good job. The Kitchen Staff Manager should work closely with the Head Cook (Food Services Director), and reports to the General Affairs Director.

Responsibilities:
Before Camp:
*3 weeks before camp, touch base with the General Affairs Director and the Head Cook, make sure everyone is on the same page.
**If the Kitchen Staff Manager does not already have a good understanding of all the kitchen roles, they can ask the Head Cook/ read the descriptions on this wiki.
*Kitchen Staff Manager, together with the General Affairs Director and possibly the camp director, is responsible for communicating with people assigned to kitchen volunteer positions 1-2 weeks before the program. Each person should be emailed their role description, and then followed up with a phone call. During the phone call: welcome the participants, ask if they received their assignment, go over the assignment, ask for any questions. If there are any issues with the assignment, let the General Affairs Director and the Camp Director know.
*Bring to Camp a printed list of all the kitchen staff's names and cell phone numbers, and what their assignment is.
*Bring to Camp, or make sure someone brings to camp, a printed description of each person's role, enough for each participant to have one.

At Camp:
*1st Day: Together with Head Cook, meet with all of the Kitchen Staff (can be done all in one meeting, or in smaller meetings, whatever works best), and give each person a printed version of their role description. Connect names with faces, briefly review the responsibilities, ask for any questions. Talk to people one-on-one if they've never done this before.
**Make sure the meal preparation people know exactly when they are supposed to show up at the kitchen (See Meal Preparation Team).
*Check in with the Cook ~3 times/day to see how things are going, if they need help with anything.
*Manage all the kitchen staff:
**Make sure people show up on time for meal preparation. Call them if they're 15 minutes late to their shift.
**Make sure the Meal Serving Coordinators are doing a good job.
**Make sure the Kitchen Cleanup Coordinators are managing the clean-up teams and the dishwasher well.
**Make sure the Dining Hall Manager is doing a good job.
