The objective of the logistics director is to prepare the physical surrounding at camp. During move-in, the camp needs to be prepared for the first program. At move-out, the camp is prepared for the ranger walk-through and next group after us.

When camp is rented, we have the use of the buildings and the camp area. All equipment, except for mattresses, need to be brought to camp before the first program and removed after the last program. We rent a storage space near the highway to keep the equipment in. Before camp starts, the logistics director and the move-in team moves all the equipment into camp and moves it back after camp.

Since the regular camp cleaning and kitchen crew usually does not come until the regular start of camp, the setting-up includes supplying the bathrooms. The cook will also need help washing all of the kitchenware coming from the storage.

Note that if the general affairs director comes early, he/she may be able to assist with set up, especially with going to the store and buying supplies. Also, if some units are closed during the last week and there are no other service projects, the service teams could close down those units.

During the camp program the logistics director gets an assignment like everybody else.

Below is a rough to-do list. It certainly doesn't include all the responsibilities the logistics director has; it is meant as a helpful tool.

Before the First Session of Camp

Before Move-In

  • Make arrangements to rent a truck for the move-in day.
  • Make arrangements to rent a truck for the move-out day.
  • Communicate with camp director about how many people will come to help move in and what time they are arriving at Shehaqua.
  • Make plans where to buy food for the move-in team to bring to Shehaqua.
  • Get key to storage.
  • Ask the registrar for the mattress shed key or ask for the mattress shed to be unlocked.

Move-In

  • Bring along an electric screwdriver for using at camp.
  • Pick up the rental truck.
  • Load everything from the storage into the truck and drop the things off at camp. Most likely more than one trip is needed.
  • First priority is to move all things from the storage shed to camp. The rec hall is a good drop point if more then one transit trip is required to and from to the shed.
  • Final destinations for dropping of equipment:
    • At the rec hall: the sound system, things that are going to be used at the rec hall
    • At the office: things for the office, things for the lecture rooms, the sports
    • equipment, the cleaning supply room at the office building, the main bathroom, and the meadow
    • At the kitchen: things for the kitchen and the infirmary
    • At the crafts cabin: the crafts boxes
  • Return the rental truck.

Set-Up

  • Shop for bulk items for the sessions of camp – paper towels, toilet paper, shampoo, and hand soap in large refill bottles (we already have the pump bottles for refilling).
  • Organize paper towels, bathroom supplies in camp office in the supply room on the left.
  • Bring paper towels, toilet paper, soap, and plungers to all the bathrooms at camp.
  • Hang up shower curtains in the main bathroom.
  • Set up whiteboards and lighting.
  • Bring whiteboard supplies (markers, eraser, and paper towels) to all lecture halls, and leave the remainder in the camp office.
  • Set up the Sound Equipment in the Rec Hall.
  • Run an electric cord to the meadow.
  • Set up clocks in lecture rooms.
  • Distribute fans.
  • Sweep all buildings – main buildings and cabins – if necessary. (we would Holy Salt as well)
  • Move mattresses from mattress shed to the unit lodges. Sometimes the mattresses will be left in the units by the previous users of Shehaqua, but you need to check that enough mattresses are in each unit.
  • Put up the crates in the dining hall and secure them with tape and string.
  • Help the cook to wash the drink coolers, pitchers, pots and pans, kitchen utensils, and any other kitchen items used for food.

After the Last Session of Camp

Directing the General Camp Cleanup

  • Pick up the rental truck.
  • Bring along an electric screwdriver for using at camp.
  • Take down the whiteboards from lecture rooms and bring to the office. Electric screwdriver or drill very useful.
  • Collect all whiteboard supplies and bring to camp office.
  • Collect the electric cords from the meadow.
  • Collect the lights and electric cords from the unit 1 lodge.
  • Collect the sound system, lights and electric cords from the rec hall.
  • Put the benches in the rec hall into the same position as when we arrived - along the long wall with one bench upside down on top of each standing bench. The number of benches we leave in the rec hall should be the same number of benches as when we arrived.
  • Collect the fans.
  • Take down the crates in the dining hall.
  • Bring the mattresses from the units, the staff buildings, and the infirmary to the mattress shed.
  • Bring the freezer from the hall behind the kitchen and the small fridges from the camp store to the mattress shed.
  • Collect the soaps, shampoos, plungers, toilet paper, and paper towels from the bathrooms. Leave the shower curtains.
  • If necessary sweep out any cabins and close all the windows and doors.
  • Close all windows in all the public buildings and sweep the floors.
  • Clean and mop the main bathroom.
  • Mop the kitchen floor and clean the kitchen counters.
  • Pick up any garbage anywhere on the ground outside.
  • Collect all garbage from the public buildings and the units and drop in dumpster. Put new garbage bags in each garbage can.
  • Bring everything to the storage arranging things in roughly the same order they were before camp started. Put similar things together. It is very important to put things in order for the next camp session at a later date when possibly not all things are needed and the necessary items need to be found quickly.
  • Return the rental truck.

Walkthrough

In all buildings, check that the floors are reasonably clean (no man-made trash), trash bags are almost empty (no food), mattresses are gone, lights are off, and windows and doors are closed.
